Aventis West Advisory

Grant strategy, writing, and administration for nonprofits and public agencies

Grant writing and grant management, from application to final report.

Aventis West Advisory helps nonprofits and public agencies win government, foundation, and corporate grants and manage them after the award. The same team writes the proposal and handles the reporting, so the budget you submit is one your finance office can report against.

Services

Help at every stage of a grant, from research to close-out.

We write proposals, and we also handle what comes after: reports, monitoring visits, audit questions, and renewals.

Grant research & strategy

A list of funders you can realistically win, based on fit and your capacity.

  • Funder prospecting scored by fit and capacity
  • Portfolio concentration and diversification review
  • Readiness review: registrations, financials, policies, and audit history

Proposal development

Government, foundation, and corporate applications with budgets that support the narrative.

  • Narratives, logic models, work plans, and forms
  • Budget and budget justification
  • LOIs, renewals, and continuation applications

Post-award compliance

The records and controls a funder expects you to keep.

  • Reporting calendars and deadline tracking
  • Allowable costs, invoicing, and documentation
  • Partner, subcontractor, and subrecipient oversight

Reporting & close-out

Program and financial reports, written with the next renewal in mind.

  • Progress and final reports
  • Budget modifications, amendments, and extensions
  • Close-out packages and reconciliation

Audit & monitoring readiness

Preparation before a review, and remediation when a finding has already been issued.

  • Single Audit and funder audit preparation
  • Monitoring visits and contract reviews
  • Written policies and procedures

Every funder type

Each funder type has its own rules.

Federal, state, county, and foundation funders each use different applications and different reports. Most organizations have several at once. We work with all four.

Federal

SF-424 packages, budget narratives, and the SAM.gov and UEI prerequisites. After the award: drawdowns, cost allowability, time-and-effort, subrecipient monitoring, indirect cost rate proposals, and Single Audit readiness under 2 CFR 200.

State

State agency grants and contracts, pass-through federal funds, invoicing and encumbrance cycles, performance and outcome reporting, and the amendments that keep a multi-year contract current.

County & local

County and city RFP responses, local tax measure and opioid settlement funding, and the working relationship with county staff that often decides renewals. We have handled county contracts from both the application and the reporting side.

Private & corporate

Letters of inquiry and full proposals to community, family, and national foundations, corporate giving and sponsorship requests, funder stewardship between cycles, and renewals backed by reports sent on time.

How it works

How an engagement works.

You can start at any stage. Most organizations call us about a proposal. Often the bigger need turns out to be managing the awards they already have.

Prepare

Before the funding notice

Pick target funders, confirm eligibility and registrations, and have standard text and budget numbers ready before the notice comes out.

Apply

Solicitation to submission

Write, build the budget, collect partner letters, and check the draft against the scoring criteria before you submit.

Manage

Period of performance

Keep the reporting calendar, document costs, oversee partners, and handle budget changes.

Close & renew

Final report through audit

Close out the award, prepare for monitoring or audit, and use the results in the next application.

Who this is for

Who we work with.

Growing nonprofits

You have received your first government awards, and the reporting is very different from the foundation grants you are used to.

Leaders who want a second set of eyes

You have a development team, but no one on it has been through a funder monitoring visit or an audit of grant funds.

Public agencies

Cities, counties, special districts, school districts, and tribal governments that need grant capacity without adding a position, or that are administering a first large state or federal award.

Sectors we work in

Grant rules depend more on the funder than the field, so we work across sectors, including:

  • Health & behavioral health
  • Human services
  • Aging & disability
  • Housing & homelessness
  • Education & youth
  • Early childhood
  • Workforce & economic development
  • Public safety & justice
  • Reentry & violence prevention
  • Substance use & recovery
  • Food security & agriculture
  • Environment & climate
  • Parks & recreation
  • Transportation & infrastructure
  • Arts & culture
  • Libraries & museums
  • Veterans
  • Immigrant & refugee services
  • Faith-based & community organizations
  • Animal welfare
  • Research & higher education
  • International development

If your field isn’t listed, ask us.

How we work

  • Experience managing grants. Our background is in running grant portfolios. We know what a funder asks for at a monitoring visit.
  • Budgets you can report against. We write each budget so your finance office can document every line later.
  • Your systems. We work in the tools you already use, including Salesforce, Smartsheet, Airtable, and Google Sheets, so the records stay with you when the engagement ends.
  • Straight advice on fit. If a grant isn’t worth chasing, we’ll say so. Your staff time is better spent on grants you can win and manage.

About the practice

About Aventis West Advisory

Aventis West Advisory is a grant strategy, writing, and administration practice based in the San Francisco Bay Area, serving nonprofits and public agencies nationwide.

We work across every funder type: federal awards, state grants and contracts, county and city funding, and private foundation and corporate giving.

Our background is in grant management and operations, including international development work.

We are a small practice. A senior consultant leads each engagement from start to close-out. When a project needs budget review, evaluation design, or reporting systems, we bring in a specialist and tell you who it is.

  • Federal, state, local, and private funders
  • Full lifecycle: research through close-out and audit
  • Fee practices aligned with GPA and AFP codes of ethics
  • Services available in English and Spanish
  • Remote engagements across U.S. and international time zones

Engagements

Ways to work with us.

Project

Fixed fee · defined deliverable

A single application, a policies and procedures manual, an audit remediation plan. Scope, timeline, and fee agreed before work starts.

Monthly retainer

Rolling calendar · set volume

An agreed number of submissions and reports each month, plus strategy time. For organizations with a steady pipeline and no internal grants staff.

FAQ

Common questions.

Can you take over a portfolio someone else built?

Yes, and it’s a common way to start. First we list every active award, deadline, and open risk, ranked by urgency. Then we make a plan to get caught up.

What kinds of grants do you work on?

All of them: federal, state, county and city, foundation, and corporate. We write the narrative, the budget and justification, and the required forms, and we manage the award after it is made. Most applications are scoped as fixed-fee projects.

Do you work with public agencies?

Yes. We work with cities, counties, special districts, school districts, and tribal governments on applications, council and board approval timelines, match planning, and post-award reporting.

Do you work in our sector?

Probably. The rules that decide whether you win and keep a grant come from the funder, not your field. We work across health, human services, housing, education, public safety, the environment, the arts, international development, and more.

Who actually does the work?

A senior consultant leads every engagement and is your main contact throughout. When a project needs a specialist, such as a budget reviewer, an evaluator, or a systems builder, we bring one in and tell you who they are. Your work is not handed to someone you have not met.

What does an intro call cover?

About thirty minutes, at no charge. Bring your funder list and your next three deadlines. That’s usually enough to tell whether we’re a fit and to give you a rough cost.
